How to Export Facebook Ads Data

Meta Ads Manager is the reporting tool for exporting Facebook Ads performance data. To export a report, choose the ad account, reporting level, date range, columns and breakdowns, then select Export or Export table data. Choose CSV for Google Sheets, databases and larger reports, or Excel/XLSX for spreadsheet analysis.

How to Export Facebook Ads Data Step by Step

1. Open Meta Ads Manager

Sign in to Meta Ads Manager and choose the correct ad account. Meta Ads Manager reports data at the campaign, ad set and ad levels.

If you manage more than one business, check the ad account name and currency before exporting. The wrong account can produce an inaccurate report even when the settings look correct.

2. Choose the Reporting Level

Select one of the main tabs:

  • Campaigns for high-level performance
  • Ad sets for audience, placement or budget analysis
  • Ads for individual creative performance

The selected tab determines the rows in the export. An export from the Ads tab normally contains one row per ad. An export from the Campaigns tab contains campaign-level results.

3. Set the Date Range

Use the date selector in the upper-right area of Ads Manager. You can choose a preset such as:

  • Today
  • Yesterday
  • Last 7 days
  • Last 30 days
  • This month
  • Custom

For recurring reports, use a custom range and include the dates in the file name:

Check the date range before downloading because it controls the performance data in the file.

Open Columns and select Customize columns. Add the metrics required for the report.

A campaign performance export might include:

5. Apply Filters Before Exporting

Use filters to limit the report to the data you need. Common filters include:

  • Campaign name
  • Campaign status
  • Delivery status
  • Objective
  • Ad set
  • Ad
  • Results
  • Spend
  • Custom labels

For example, filter by campaign name or campaign ID when exporting data for one product launch. Filtering first keeps unrelated campaigns out of the file.

6. Add a Breakdown When Necessary

Select Breakdown to split the report by another dimension, such as:

  • By day
  • By week
  • By age
  • By gender
  • By country
  • By placement
  • By platform
  • By device

Use By day when you need to chart spend, conversions or revenue over time. Google Analytics recommends including the date, campaign name or ID, spend, clicks and impressions, with a daily time breakdown, when importing Meta Ads data into analytics workflows.

Each breakdown increases the number of rows. A report split by campaign, date and placement can be much larger than a standard campaign report.

7. Export the Report

Click Export, Export table data or the download icon. The label can vary between Meta Ads Manager interfaces.

Choose the required format:

  • CSV: Best for Google Sheets, databases, BI tools and large reports
  • Excel/XLSX: Best for spreadsheet analysis and formatted reports
  • Copy to clipboard: Useful for pasting a small table into another document

After downloading the file, check the date range, ad account, currency and reporting level.

Which Export Format Should You Use?

Use CSV for data analysis and Excel/XLSX for manual spreadsheet work or presentation.

Use CSV for Data Analysis

CSV is a good choice when you plan to:

  • Upload data to Google Sheets
  • Combine Meta Ads data with Google Analytics data
  • Load the file into Power BI, Tableau or a database
  • Automate data processing
  • Export a large number of rows

CSV files are portable and work with most analytics tools.

Use Excel for Presentation

Choose Excel when you need to:

  • Add formulas
  • Format a client report
  • Create pivot tables
  • Add charts
  • Review the data manually

Excel is convenient for smaller reports. CSV is usually the better option for automated workflows.

How to Export Daily Facebook Ads Performance

Use a time breakdown when you need one row for each reporting date.

  1. Open Meta Ads Manager.
  2. Select the Campaigns, Ad sets or Ads tab.
  3. Choose the date range.
  4. Add metrics such as spend, impressions, clicks, conversions and revenue.
  5. Open Breakdown.
  6. Choose By time, then Day.
  7. Apply campaign or status filters.
  8. Export the report as CSV or XLSX.

The exported file should contain separate rows for each date and selected entity. Include campaign IDs or ad IDs if you will match the data with another system.

How to Export Facebook Ads Data for Google Sheets

For Google Sheets, export the report as a CSV file.

  1. Open Google Sheets.
  2. Select File.
  3. Choose Import.
  4. Upload the CSV file.
  5. Select Insert new sheet or Replace spreadsheet.
  6. Check that dates, currencies and decimal values imported correctly.

If the dates use the wrong format, format the date column before creating charts or pivot tables.

How to Export Facebook Ads Data Automatically

For recurring reports, choose between Meta Ads Reporting, the Meta Marketing API or a third-party reporting tool.

Meta Ads Reporting

Use the Ads Reporting area when you need a repeatable report with defined metrics, date ranges and breakdowns. It suits scheduled client or internal reports that use the same layout.

Meta Marketing API

Developers can use Meta's Marketing API Insights endpoint to retrieve performance data at the account, campaign, ad set or ad level. Meta's API examples include fields such as ad ID, clicks, impressions, spend, reach and actions, along with date presets and reporting parameters.

The API is useful when you need to:

  • Pull data every day
  • Combine multiple ad accounts
  • Store historical performance in a database
  • Feed a dashboard
  • Apply consistent naming and validation rules

API access requires technical setup, authentication and the correct permissions. It is unnecessary for a single report.

Third-Party Reporting Tools

A reporting platform can connect Meta Ads to Google Sheets, Looker Studio, Excel, a data warehouse or a dashboard. This option suits teams that need scheduled reports without maintaining an API integration.

Facebook Ads Manager Export vs. Facebook Data Download

Use Meta Ads Manager for advertising performance data such as spend, impressions, clicks and conversions.

Do not use Facebook's general Download Your Information tool for this task. That tool is designed to download personal Facebook information and activity categories, including account-related ad information. It does not replace a structured Meta Ads Manager performance report.

Why Your Export May Be Missing Data

Missing data usually comes from the account, permissions, table settings, row count or reporting differences between platforms.

You Selected the Wrong Account

Check the ad account name and ID before exporting. Business portfolios can contain several accounts with similar names.

You Lack the Required Access

Meta states that people with task access can manage ads and view ad performance through business tools. The available permissions depend on the account and role configuration.

If the export option is missing, ask an administrator to check your ad account access and reporting permissions.

Your Columns Are Not Configured

The file generally reflects the columns and breakdowns shown in the reporting table. Return to Columns > Customize columns and add the metrics required for the report.

The Report Has Too Many Rows

Reduce the date range, remove unnecessary breakdowns or export one ad account at a time. Combining date, placement, age and gender breakdowns can create a large file.

The Numbers Do Not Match Another Platform

Meta Ads data can differ from Google Analytics, a CRM or an ecommerce platform. The systems may use different attribution settings, conversion definitions, reporting time zones and event-processing rules.
