How to Add Someone to Meta Ads Manager

Meta Ads Manager is where you manage Meta ad accounts, campaigns and advertising permissions. As of, Meta uses two broad business access levels: Partial access and Full control.

Use Meta Business Suite when the ad account belongs to a Business Portfolio. Add the person, assign the correct ad account, and give them only the permissions required for their work.

How to Add Someone to a Meta Ad Account

Use Meta Business Suite to add a person when the ad account is connected to a Business Portfolio.

1. Open Meta Business Suite

Open Meta Business Suite and select the correct Business Portfolio, formerly called Business Manager.

Go to:

Settings → People → Invite people

You need full control of the Business Portfolio to invite users and assign business assets.

2. Enter the person's email address

Enter the email address connected to the person's Meta or Facebook account, then select Next.

Do not share your Facebook password. Meta gives each person access through their own account.

3. Choose their business access level

Meta generally offers two access levels:

Choose Partial access unless the person needs to administer the whole Business Portfolio. Full control may allow them to manage other users, business settings and connected assets.

4. Assign the ad account

On the asset selection screen:

  1. Select Ad accounts.
  2. Choose the relevant Meta ad account.
  3. Select the permissions the person needs.
  4. Click Invite or Send invitation.

For campaign work, give the person permission to create, edit or manage ads. For reporting, give them view or analyst access where available.

Adding someone to the Business Portfolio does not necessarily give them access to Ads Manager. You must also assign the specific ad account as a business asset.

5. Ask them to accept the invitation

The person must accept the invitation from the email address or Meta notification connected to their account. After they accept it, they can open Ads Manager and access the assigned ad account.

If they cannot see the account, ask them to:

  • Log out of other Facebook or Meta accounts.
  • Accept the invitation with the correct email address.
  • Open Ads Manager and select the correct ad account.
  • Check People or Ad accounts to confirm the assignment.

If the Ad Account Is Not in a Business Portfolio

Some older or standalone ad accounts can be managed directly in Ads Manager.

  1. Open Meta Ads Manager.
  2. Go to Ad account settings.
  3. Find Ad account roles.
  4. Select Add people.
  5. Search for and select the person.
  6. Choose a role.
  7. Click Confirm.

The available roles may include:

  • Ad account admin: Can manage ads, reports, payment settings and user permissions.
  • Ad account advertiser: Can create and edit ads using the ad account's payment method.
  • Ad account analyst: Can view ads and reporting data.

If you see Open Business Settings instead of Add people, the ad account is managed through a Business Portfolio. Use the Business Suite method instead.

Which Meta Permission Should You Give?

Match access to the person's role:

  • Reporting specialist: View performance and reporting access.
  • Media buyer: Permission to create, edit and manage campaigns.
  • Creative contractor: Access to the required ad account and creative assets, without full business control.
  • Agency: Add the agency as a Partner using its Meta Business ID instead of adding each employee individually.
  • Business owner or senior administrator: Full control when they need to manage people, payment settings and business assets.

If the person also needs to publish ads from a Facebook Page, assign Page access or task access as well. Meta says that people with task access can manage advertising and ad insights through tools such as Ads Manager and Meta Business Suite.

How to Add an Agency to Meta Ads Manager

Add an external agency's Business Portfolio as a partner:

  1. Open Business Settings.
  2. Select Partners.
  3. Choose Add or Give a partner access to your assets.
  4. Enter the agency's Meta Business ID.
  5. Select the ad account.
  6. Choose the required permissions.
  7. Confirm the partnership.

This keeps ownership of the ad account with your business while giving the agency access to the selected assets.

Why Can't Someone Access the Meta Ad Account?

The usual causes are:

  • The invitation has not been accepted.
  • The wrong Meta account was invited.
  • The person was added to the Business Portfolio but not assigned the ad account.
  • The person selected the wrong Business Portfolio in Ads Manager.
  • The person lacks Page, Instagram or pixel permissions needed for the campaign.
  • The ad account belongs to another Business Portfolio.
  • The person's access level does not include campaign management.

Open Business Settings → People, select the person and check that the correct ad account and permissions are assigned.

For most employees, freelancers and contractors, Partial access to the specific ad account is the appropriate choice. Use Full control only when someone must manage users, payment settings or other business assets.
